First, we map out the data flow: where everything comes from, what the source of truth is, and what can be overwritten. Then, we choose the right tools. For simple flows, Make or Zapier, and for more complex logic Xano, and if it truly requires custom work, your own code on Vercel. Every integration includes logging and error notifications, because an integration that fails silently is worse than no integration at all.
If your two systems have an official integration, use it. It’s tested and maintained by the vendor. Custom work comes into play when that integration doesn't exist, when it doesn't include the fields you need, or when logic needs to be applied in between: only specific orders, a conversion, or a pre-check.
That depends on the number of systems, the direction of the data (one-way or two-way), the volume, and what should happen if one of the two systems is unreachable. Every integration has a fixed price upfront. In addition, you pay for the platform it runs on. For Make, that’s usually a few dozen euros per month for most companies.
For a one-time transfer, you don't need an integration, you need an import. And if something happens twice a year, manual work is cheaper than automation. An integration pays off for work that recurs weekly or daily.
For Mitsubishi Turbochargers & Engines we keep hundreds of engine types up to date from Airtable, synchronized to Webflow via the Data API. For Arts M+G we processed event registrations automatically, from form submission to confirmation. And for Immerse Education we wrote structured data for over a hundred programs directly via the API.
