Data management system

A data management system is the place where your company data is managed and from where it reaches everywhere: website, portal, documents, integrations. One source, one truth, and a dashboard where your team maintains that data without needing a developer.

When you need this

The same information exists in three systems and they don't match. A change has to be made in four places, and eventually, something goes wrong. The data is in an Excel file that five people are editing at the same time. Your website shows something different than your ERP. Or an export to the site is done manually and therefore sometimes doesn't happen at all.

What we build

A data model that matches how you talk about it, not how a software package happens to name it. A management dashboard with bulk editing, filters, and validation to keep errors out. Roles and permissions: who can change what and who can publish. Version history, so you can see who changed what. Synchronization to the places where the data is needed, via API. And when it comes to products, this touches on product information management.

With what

Airtable or Xano as the source, depending on volume and logic. A custom management interface in Next.js for high data density per screen, or in Webflow with Wized if a lighter solution is possible. Integrations via API or via Make.

Our approach

First, we determine which system is the source for each piece of data. It sounds simple, but it rarely is. Next comes the data model, the management interface, and a single synchronization, for example to your website. Your team starts using it, and based on that experience, we add subsequent integrations and screens.

Standard package or custom solution

If Airtable with a few views is enough, we set that up and only build the integration. A custom management interface is only considered when dealing with large amounts of data per screen, bulk operations, or permissions that Airtable cannot handle. We start with the lightest solution that works.

Costs and timelines

That depends on the data model, the number of roles, and the number of destinations for the data. We work with a fixed price per phase. The first phase covers the data model, the management interface, and one synchronization.

Who this is not for

If your data is already in a single system that works well, you don't need a second one, at most an integration. And if the data is only for internal use and small in scale, a well-organized spreadsheet remains the most cost-effective solution.
